Privacy Policy

The short version

Regulars collects and handles guest personal information solely on behalf of, and on the instructions of, the park, to provide the service. The park remains responsible for its guest list; Regulars handles that information in accordance with the Australian Privacy Principles and uses it for no other purpose. Data is stored in Australia (AWS Sydney via Supabase).

What we collect

  • Park account details: your name, email, park name and contact details, so you can sign in and we can support you.
  • Guest information from your NewBook: names, contact details, marketing-consent flags, and stay history. We read it through NewBook's official API on your instruction, to spot drifting regulars and to send the messages you approve.
  • Message records: what was drafted, approved, sent, delivered and replied, so the recovered-revenue report stays honest and opt-outs are honoured permanently.

What we never do

  • We never sell or share your guest list. It stays yours.
  • We never message a guest without your approval.
  • We never contact guests whose profile doesn't allow marketing contact, and anyone who opts out is never messaged again.

Where data lives

In Australia — our database is hosted in the AWS Sydney region via Supabase. Messages are delivered through our providers (Twilio for SMS, Resend for email) only at the moment of sending.

How long we keep it

While your subscription is active, we keep guest information so your history and reports work. If you cancel, guest personal information is automatically deleted or irreversibly de-identified 60 days after cancellation unless you reactivate. Aggregate, de-identified statistics may be retained.

Data breaches

If Regulars becomes aware of a data breach involving guest personal information likely to result in serious harm, Regulars will notify the affected park without undue delay and provide reasonable assistance with the park's obligations under Part IIIC of the Privacy Act 1988 (Notifiable Data Breaches scheme).

Your rights

Guests can ask their park (or us directly) what information is held about them, ask for it to be corrected, or opt out of marketing at any time — every text carries “reply STOP” and every commercial email carries one-click unsubscribe. We commit to complying with the Australian Privacy Principles regardless of any small-business exemption.
